We’re hiring a Conference Assistant for Making Waves

WIFT-AT is a non-profit association advancing gender equity for women and gender-diverse folks working in film, television, and screen-based media in Atlantic Canada since 2009.

The Conference Assistant will help organize, execute, and deliver the Making Waves conference and its supplemental programming between February and July. The conference will take place on April 10 and 11 in downtown Halifax with a series of online workshops to follow. This is an excellent opportunity to learn the inner workings of a non-profit, help manage a large-scale event, and make connections in the screen industry.

The Conference Assistant will work with the WIFT-AT Operations Manager and the Programming Committee to help produce the conference and supplemental programming during the work activity period.

WORKING CONDITIONS:

Location | Work From Home in HRM except April 10-12 on site in downtown Halifax. Some in-person meetings leading up to the event.

This is a Job Creation Partnership facilitated through Employment Nova Scotia. To qualify, candidates must be a resident of Nova Scotia and have one of the following:

—a current Employment Insurance (EI) claim
—an EI claim that ended within the last 60 months
—received benefits under the EI emergency response benefit within the previous 60 months
—been employed with gross insurable earnings of $2,000 or higher annually, in at least 5 of the last 10 years
—been attached to the labour force for at least 24 months (no current students)

Hours | 35 hours per week (Mon-Fri except the event weekend, occasional evenings)

QUALIFICATIONS:

The candidate should be organized and possess good written and verbal communication skills (including phone calls) and experience with Zoom and the Google Suite, primarily Docs and Sheets. Prior experience with event planning is an asset. A background and/or interest in the Canadian film industry is also an asset, but not necessary. While the successful applicant will work with support and supervision from the WIFT-AT Operations Manager, this position requires comfort with autonomy while being accountable and deadline-driven.

GENERAL RESPONSIBILITIES:

The Conference Assistant will work directly with the Operations Manager to prep, organize, and deliver the events. As is the nature of event planning, tasks will change from day to day and could include the following areas based on circumstance and need:

Administration
Supporting the Communications lead on press and promotional materials. Liaising with the CBC Pitch This! participants on scheduling and expectations. Other administrative tasks as assigned.

Guest Liaison
Working with Operations Manager to coordinate travel, accommodations, airport transport, and special requests for conference speakers and panelists. Administering online hospitality form, including direct follow up with guests. Administering tech requirement form to conference guests. Collating and preparing guest packages.

Sponsorship Liaison
Supporting contracting between WIFT-AT and its sponsors, gathering their logos for online and print materials. Post-event reporting for each sponsor.

Ticketing
Digital ticketing coordination including sales, answering attendee questions, and ticketing reports. Administering an exit survey to attendees.

Volunteer Coordination
Creating a call, organizing, and scheduling volunteers for the conference. Hosting an orientation meeting the week of the event.

Workshop Facilitation
Working with the Operations Manager to book, promote, ticket, and run four to six online workshops in the months after Making Waves.
