WIFT-AT is a non-profit professional association that has been advancing gender equity for those working in film, television and screen-based media in Atlantic Canada since 2009.
Reporting to the WIFT-AT Operations Manager and Board, the Communications Coordinator will develop and implement communications to support the Making Waves conference and other WIFT-AT operations. This will involve planning, creating and managing communication with WIFT-AT’s stakeholders including members, partners, and other communities, using a variety of practices, methods and tools.
WORKING CONDITIONS:
Location | Hybrid. Individual must be based in Nova Scotia for JCP eligibility, work is home-based, with in-person locations for initiatives on a weekly basis.
Length of Contract | 26 weeks
Hours | 35 hours per week (variable hours, occasional evenings and weekends)
Pay | $668 per week
QUALIFICATIONS:
The candidate must possess very good written and verbal communication skills, and have experience in WordPress, Canva, Zoom, Mailchimp, Google Docs, and all major social media platforms. Basic graphic design skills or aptitude would be considered an asset. Experience in Asana, Zoom backend, Wild Apricot, Google Analytics, and Eventbrite is also considered an asset. A background and/or interest in the film industry is an asset, but is not necessary. This is a learning position and while the successful applicant will work with support and supervision from the WIFT-AT Operations Manager and committees, this is a position that requires a fair amount of independence and comfort with autonomy while being highly accountable and deadline-driven.
GENERAL RESPONSIBILITIES:
- Create and manage the communications work plan in Asana
- Create and distribute member newsletter in Mailchimp.
- Email distribution list management through the membership database (Wild Apricot);
- Administration of and content creation for the WIFT-AT website (WordPress in Genesis);
- Create communications and communication elements as well as templates in Canva;
- Participate in team meetings both on and offline;
- Host and/or tech support (backend) public meetings and webinars in Zoom;
- Seek and coordinate media interviews;
- Create tracking and analytic tools to track outcomes of marketing initiatives including exit surveys and Google Analytics;
- Develop and complete project wrap reports including survey summaries, statistical analysis, media highlights;
- Maintain social media presence via WIFT-AT accounts – Facebook, Twitter, Instagram, LinkedIn.
- Create and manage event registrations in Eventbrite
- Put together WAVE Awards Committee and call for submissions and monitor their progress/complete WAVE Awards activities.
- Create an overall communications strategy for the Making Waves conference

The Programming Coordinator will be responsible for scheduled educational programs including the Making Waves Conference, which will be delivered in April 2025. The Programming Coordinator will work with the WIFT-AT Operations Manager, Conference Leads, and the Programming Committee, to produce the conference and other educational programming during the work activity period, including program development, proposal writing, and budgeting.

GENERAL RESPONSIBILITIES:
Research
Working with WIFT-AT Operations Manager and committees to research potential workshop leaders, keynote speakers, and funding possibilities.
Business Communication
Corresponding with WIFT-AT members as well as the WIFT-AT board and committee members, proposal writing and budget preparation.
- Attend relevant committee meetings either in person, via phone, Zoom;
- Communicate with committees to ensure all activities are arranged within budget.
Project Planning
With the Programming Committee, preparing a critical path for program education scheduling, including the conference.
Project Implementation
Overseeing the event(s) schedule and coordinating the different heads of departments to deliver the event including the programming, technical, promotional and logistical aspects of the education sessions and the conference.
- Initiate, organize and manage guest speaker arrangements;
- Collect guest tech preferences and collaborate with tech services provider for set up;
- Schedule and oversee tech tests/rehearsals;
- Update and administer online hospitality form, including direct follow up with guests;
- Coordinate with the volunteer committee to ensure adequate support per event;
- Collate and prepare guest packages, including appropriate production of honorariums;
- Oversee production of the digital event programs;
- Research and implement a digital ticketing process for each program and the WMW Conference;
- Set up Web-pass sales through Eventbrite for each event.
Program Evaluation
Preparing the final budget report, coordinating final reports from heads of departments, delivering final reports to funders and stakeholders.
